Five steps. One reimbursement check.
From the day you decide to host an intern to the day VEDP wires you $2,500, here is every step — and the exact tool that handles it.
- 1
Check eligibility
Confirm your business and the role you want to post qualify for the VEDP Talent Pathways Internship Grant.
- 150 or fewer Virginia W-2 employees
- Paying interns $15/hr or more
- 120+ hours across 8+ weeks
- 2
Complete supervisor training
The supervisor of record finishes the free Employer's Guide to High-Quality Internships (~5 hours). This is the #1 most-missed step.
- Free, online, self-paced
- Must be done BEFORE the internship starts to qualify wages
- One supervisor = one completion = covers your interns under them
- 3
Post the role & hire
Publish your internship and surface it to Greater Richmond students. We host the careers page, applications, and pipeline.
- Structured role template (responsibilities, skills, hours, pay)
- Public careers page at /careers/your-org
- Built-in applicant pipeline (new → reviewing → interview → offer → hired)
- 4
Run the internship
Pay the intern on your normal payroll. Log hours and structured check-ins so the reimbursement packet writes itself.
- Weekly/biweekly check-ins (both supervisor + intern)
- Hours logged automatically build your reimbursement evidence
- Mid-program and final evaluations from the default template
- 5
File for reimbursement
Submit the VEDP reimbursement packet with proof of hours and payroll. VEDP reimburses 50% of wages, up to $2,500 per intern.
- Pull payroll records, signed timesheets, and final evaluation
- Concierge support available — we walk you through it
- Reimbursement typically arrives in 4–8 weeks after filing
